Bio Data Format for Job (2026)

Bio data is a distinct, older document from a resume — and knowing when each is actually wanted saves you from sending the wrong one.

Who this is for: Applicants to Indian government posts, PSUs, banks, teaching positions, and any employer whose form explicitly asks for "bio data".

Section order, top to bottom

Order matters more than styling. Both an ATS parser and a recruiter reading for six seconds weight the top of the page hardest, so the strongest evidence goes first.

    Personal details
    This is the section that genuinely distinguishes bio data from a resume. Full name, father’s or spouse’s name, date of birth, gender, marital status, nationality, category if the form requires it. On a modern private-sector resume these are wrong; on a bio data form they are the point.

    Contact details
    Full postal address including PIN code, phone, email. Bio data does expect the full address.

    Educational qualifications
    Tabular, oldest to newest — Class X upward, with board or university, year of passing, and marks or percentage for each. This is the reverse of resume convention and it is correct here.

    Work experience
    Organisation, designation, period, and a brief description. Chronological, oldest first.

    Languages known
    Read, write, speak — noted separately. Genuinely relevant for many Indian public-sector roles.

    Declaration and signature
    A dated declaration that the information is true, with your signature and place. Expected on bio data; obsolete on a resume.

What to leave out

  • Marketing-style summaries and value propositions — bio data is a factual record, not a pitch.
  • Impact bullets with metrics; the format expects plain description.
  • Design flourishes of any kind.

Terms an ATS looks for

Use the ones that genuinely apply to you, worded the way the job description words them. Matching is largely literal, so a synonym often does not count.

Getting this format right

  • Send bio data only when the employer explicitly asks for it. For private-sector and product roles, send a resume — bio data reads as dated there.
  • Follow the requested field order exactly; public-sector processing is form-driven and deviation causes rejection.
  • Keep the education table complete from Class X. Gaps in that table get queried.
  • Sign and date it. An unsigned declaration is treated as incomplete.

Common mistakes

  • Sending bio data to a startup or product company that asked for a resume.
  • Mixing formats — resume-style achievement bullets inside a bio data table.
  • Leaving the declaration undated or unsigned.
  • Omitting the full postal address, which bio data forms do require.
